About the Role

Office Management:
Oversee daily office operations, ensuring a productive and organized work environment.
Maintain and manage office supplies, including ordering and inventory control.
Coordinate office maintenance and repair services as needed.

Administrative Support:
Provide administrative support to the management team and other staff members.
Manage calendars, schedule meetings, appointments, and coordinate travel arrangements.
Prepare and edit documents, correspondence, and reports.

Communication and Correspondence:
Answer and direct phone calls, emails, and other inquiries in a professional and timely manner.
Maintain clear communication with clients, vendors, and staff.
Draft, review, and send professional correspondence (letters, emails, memos).

Document Management and Filing:
Organize and maintain physical and electronic filing systems.
Ensure accurate and efficient record-keeping, following company policies and confidentiality requirements.
Prepare and organize documents for meetings and presentations.

Human Resources Support:
Assist with onboarding new employees, including setting up their workspace, conducting orientations, and ensuring all necessary documents are completed.
Maintain employee records, track attendance, and assist with payroll coordination.
Help with HR-related tasks such as performance reviews and employee communications.

Budgeting and Financial Support:
Assist with managing office budgets, including tracking expenses and ensuring timely payments.
Process invoices, purchase orders, and expense reports.
Help with accounting-related tasks like reconciling accounts or preparing financial reports.

Event and Meeting Coordination:
Plan and organize company events, conferences, and meetings, including catering, scheduling, and logistical support.
Prepare agendas, take meeting minutes, and ensure follow-up on action items.

Customer and Client Service:
Greet and assist visitors, ensuring a welcoming and professional environment.
Handle customer inquiries and assist in resolving issues or concerns.
Manage the reception area, including receiving deliveries and packages.

Technology and Software Management:
Manage office technology, including computers, printers, and other equipment.
Troubleshoot minor tech issues or coordinate IT support as needed.
Maintain and update office software and databases.

Requirements

  • Education:

    • A high school diploma or GED is required. Associate’s degree or bachelor’s degree in business administration preferred.

  • Experience:

    • Typically, 1-3 years of experience in an administrative or office support role is preferred.

    • Experience in a similar industry (e.g., healthcare, legal, finance) can be beneficial, depending on the company's focus.

  • Skills:

    • Strong communication skills: Excellent written and verbal communication abilities.

    • Organizational skills: Ability to manage multiple tasks, prioritize work, and stay organized in a fast-paced environment.

    • Problem-solving: Ability to identify issues and find practical solutions quickly.

    • Time management: Effectively manage time and meet deadlines.

    • Attention to detail: Ensure accuracy in documentation, scheduling, and communication.

    • Customer service skills: Ability to interact professionally and courteously with clients, visitors, and team members.

    • Technical skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office software/tools.

    • Basic bookkeeping or accounting skills: Familiarity with processing invoices, handling petty cash, and other financial administrative tasks.

  • Personal Attributes:

    • Reliability: Dependable and punctual with a strong work ethic.

    • Discretion and confidentiality: Ability to handle sensitive information with professionalism and care.

    • Adaptability: Flexible and willing to take on new tasks or adjust to changing priorities.

    • Team-oriented: Ability to work collaboratively with other employees and departments.

  • Certification:

    • Some employers may prefer or require certifications in office administration or related fields, such as:

      • Certified Administrative Professional (CAP)

      • Office Management Certification

      • QuickBooks Certification (if handling finances)
